Getting started
How the workflow works
A Request for Quotation asks a supplier for price and delivery terms. When you accept a quotation, a Purchase Order is created and moves through six stages.
- Request a Quote: list your parts and attach drawings.
- Review the quotation when its status is Awaiting Acceptance.
- Accept it with your procurement contract to create a Purchase Order.
- Follow Contract Signing, In Production, Quality Inspection, In Transit and Payment.
- The Purchase Order is Completed only after payment is verified by a trusted source.

Request a Quote
Create a Request for Quotation with one or more parts and at least one drawing. Your draft is saved in this browser as you type.
- Select Request a Quote.
- Enter each part name and a whole-number quantity of at least 1. Use Add another part for more rows.
- Attach at least one drawing.
- Optionally add a batch number and additional requirements (up to 255 characters each).
- Select Review request, check the summary, then Submit Request for Quotation.

Upload a drawing

- Open Request a Quote.
- In Drawings, drag files onto the area or select choose files.
- Wait until each file shows Ready. You cannot submit while a file is still uploading.
- Remove a file with its Remove button if you picked the wrong one.

Attachments versus bulk import
You can upload document attachments. Bulk import of spreadsheets or structured records is not available; enter parts as rows in the form.

Find a Purchase Order or request
Use the search box and filters on Purchase Orders or Requests for Quotation. Filters combine, so a record must match all of them.
- Open Purchase Orders (or Requests for Quotation).
- Type a reference, project reference or part name and select Search.
- Choose a stage or status filter to narrow the list.
- Select View Purchase Order or Details to open the record. The link can be bookmarked.

Review and accept a quotation
Requests with status Awaiting Acceptance have a quotation to review. Accepting requires your procurement contract and an explicit confirmation, and creates one Purchase Order.
- Open the request and select Review quotation.
- Check the version, line prices, currency, validity date and terms.
- New fictional examples use USD with unchanged amounts, not exchange conversion. Saved legacy test records retain XTS; each real quotation and order retains its agreed currency. Totals combine only amounts in the same currency.
- Select Accept quotation and place Purchase Order, attach the contract and confirm.

Quality inspection review
In Quality Inspection, review the inspection reports, then approve or report a failure. Nothing is approved automatically when the due date passes.
- Open the Purchase Order and select the Quality tab.
- Open each inspection report.
- Select Approve inspection, or Report failure and request rework with a description.

Timelines, terms and record updates
The workflow describes general process stages, not promised lead times. Confirmed order dates must come from the authorized order record or supplier; the company-help assistant has no private record access and cannot confirm delivery dates. A drawing revision identifies a version; a batch reference identifies a group of parts; a material test report records material test results and is not automatically a certification. Ask for context when an acronym is undefined. In the owner workspace use the record's available stage-specific controls for contract versions, quality review, shipping receipt and payment evidence; there is no general spreadsheet import or automatic approval. The public sample is read-only. Nothing is submitted or changed by the assistant.

Upload payment evidence
Full buyer payment is due 30 calendar days after goods receipt, independent of invoice availability. Upload bank transfer evidence in the Payment tab; evidence is not confirmation of funds. Supplier, inspection and freight terms vary by provider and contract. No live payment verification is connected.
- Open the Purchase Order and select the Payment tab.
- Check the goods receipt date, payment due date and order amount.
- Choose your bank transfer evidence and select Submit evidence.

If a button is disabled, you may be in the read-only sample, or the action is not allowed at the current stage. Error messages explain what is missing.
